Who this policy covers
This Privacy Policy explains how AreaSorted collects, uses, stores, and shares personal information relating to customers, prospective customers, service providers, provider contacts, website visitors, and people who contact us.
What personal data we may collect
- - Name, address, email address, and phone number.
- - Booking details, property details, access notes, service history, and communications.
- - Payment-related information handled through payment processors.
- - Account details, support queries, complaint information, and other records connected with platform use.
- - Identity, insurance, and onboarding information where relevant for providers.
- - Technical data such as IP address, device and browser information, security logs, cookie choices, and website usage where optional cookies are accepted.
- - Job photos and documents you upload. An upload may briefly exist without a completed quote if you leave the flow after uploading; these orphan uploads are not used to create a booking and are deleted under our short orphan-upload retention process.
How we use personal data

- - To process quote requests, booking requests, confirmed bookings, reschedules, cancellations, and customer support queries.
- - To contact providers where necessary to arrange or perform a booking.
- - To process payments, refunds, chargebacks, payouts, fraud checks, and security checks.
- - To handle complaints, disputes, legal compliance, record-keeping, and service improvement.
- - To send direct marketing where permitted by law or where consent has been given if required.
Lawful bases
- - Contract and pre-contract steps: accounts, quotes, matching, bookings, service communications, payment administration, cancellations, and support requested by you.
- - Legal obligation: tax and accounting records, responding to lawful requests, consumer-law compliance, and regulatory duties.
- - Legitimate interests: operating and securing the marketplace, preventing fraud, maintaining records, handling disputes, improving services, and protecting users, balanced against your rights.
- - Consent: optional analytics, Crisp support chat technologies, and marketing where consent is required. You may withdraw consent at any time without affecting earlier lawful processing.
Who we may share data with
- - Service providers where necessary to fulfil a booking.
- - Processors and service-provider categories including Stripe for payments and connected accounts; hosting, database, email and communications suppliers; Cloudflare for private file storage and security; analytics suppliers; Crisp for support chat when you consent; security, fraud-prevention, maps, and identity-verification suppliers where enabled.
- - Insurers, legal advisers, accountants, and other professional advisers where necessary.
- - Regulators, courts, law enforcement, or public authorities where required by law.
International transfers
Some suppliers may process personal data outside the United Kingdom. Where a destination is not covered by UK adequacy regulations, we use an approved safeguard such as the UK International Data Transfer Agreement, the UK Addendum to EU standard contractual clauses, or another lawful transfer mechanism, and assess supplementary measures where required.

Retention and security
- - Quote and booking records are generally retained for up to 6 years after the relevant transaction or relationship ends so we can meet contractual, tax, accounting, and legal-claims requirements.
- - Account and profile data is retained while the account is active and then normally for up to 6 years, unless earlier deletion applies or a legal reason requires longer retention.
- - Support, complaint, fraud, and dispute records are normally retained for up to 6 years after closure; security logs are normally retained for up to 12 months unless needed for an investigation.
- - Orphan job-photo uploads that are not attached to a submitted quote are intended to be deleted within 30 days. Uploaded evidence attached to a booking or dispute follows the relevant booking or dispute retention period.
- - Cookie consent records are retained for up to 12 months. We may retain data longer where law, litigation, fraud prevention, or an active complaint requires it, and then delete or anonymise it when no longer needed.
- - We use technical and organisational measures such as access controls, password protection, role-based permissions, secure storage, audit logs, and incident response procedures.
Your rights
- - You may have rights relating to access, rectification, erasure, restriction, objection, portability where applicable, and complaints under data protection law.
- - If you wish to exercise a privacy right or raise a concern, please contact us using the legal or privacy contact details shown on the website.
- - You can complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint, by telephone on 0303 123 1113, or by post to Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF. We would appreciate the opportunity to address your concern first, but you do not have to contact us before the ICO.
